Spring is a wonderful time to be traveling with your students, as it offers warmer weather before the robust heat of the summer really kicks in, and it serves as a way to establish a travel pattern for your program, which then allows for easier recruiting for next year’s trip and beyond. Many student groups also use the spring travel season as a way to celebrate the year’s accomplishments through participation in a festival and walk away with enhanced skills and team bonding.
If a spring trip is in your near future, ensure the below items are top of mind.
FINALIZE YOUR ROOM LIST
Ensure your rooming list is complete and thoughtfully organized. Don’t forget to consider important factors like age or grade compatibility and gender identification to create a comfortable and inclusive experience for all students. If your trip involves multiple motorcoaches, prepare a detailed passenger list for each vehicle to streamline boarding and ensure smooth transitions throughout the journey.
HOST A CHAPERONE MEETING
Hold a chaperone meeting to outline responsibilities and ensure everyone who is attending the trip feels prepared and understands expectations. This meeting is also a great time to assign small groups of students to each chaperone to evenly divide up supervision and create an organized and supportive experience for both students and staff/parents.
ENSURE ALL FORMS ARE COLLECTED
Confirm that all necessary forms have been collected and reviewed to make sure there’s no missing information or anything that needs further clarification, including those detailing dietary needs, allergies, emergency contact info, etc. Double-checking this information is vital to ensure that all students’ needs are accounted for.
CHECK THAT FINAL PAYMENTS ARE ON TRACK
Ensure that all students are on track with their final trip payments. Staying on top of this critical part of the planning process helps avoid last-minute complications and keeps the trip on track.
